Many Students are on the Waiting List
- Due to high demand this years trip sold out very quickly
- Many students, including many of your friends are on a long waiting list
- We have now been able to secure the remaining rooms available at the Chateau Frontenac Hotel.
- These rooms are all (2) Person Double Occupancy, Upgraded Private Rooms ONLY
- We are now offering a very special discounted upgrade to all students registered on the trip for two reasons:
(1) Will open spaces to allow students on the waiting list to have a chance to attend.
(2) To offer you a more comfortable, upgraded trip experience with only 2 per room at a special low cost. - It is our hope that you will consider a two person, private room upgrade with someone already registered or someone on the waiting list.
- We are offering you the upgrade at very special price to upgrade to a two person room for only $99 per person. Regular price is $169 (Availability is limited, so reserve early)

Dear Parents and Students,
Thank you for registering for our ski trip to Québec City and the Fairmont Le Château Frontenac.
Because demand has been so strong and the waiting list is very long, we’ve secured the only available, additional rooms at the Fairmont Chateau Frontenac.
- These new rooms are all upgraded Double Occupancy Only Private Rooms (2 students per room), while your original price was based on quad occupancy (4 students per room).
- This gives us the chance to offer you a more comfortable upgraded 2-person rooms and, in some cases, make room for friends on the waiting list.
IMPORTANT:
If your student is currently registered in a full 4-person room with all (4) students confirmed on the trip with reservation (not on the Waiting List), you have two choices:
Option A
Remain in a
Quad Room
- All four confirmed registered students who have listed each other on the reservation form stay together in one 4-person room.
- No additional cost.
Option B
Upgrade to Two Double Rooms
- All four students agree to split into two 2-person rooms.
- Each student pays a discounted upgrade of $99 (regular double upgrade is $169).
- Upgrades are limited and processed in the order students confirm and pay.
VERY IMPORTANT:
If Your Student Registered For A 4 Person BUT Has Only 2 or 3 Students Confirmed on the Trip with some friends on the Waiting List, Please Read Below
- Some groups planned a 4-person room, but only 2 or 3 students registered before the waiting list started.
- Because only double rooms remain, we can’t keep partially filled 4 person rooms.
- These students will be need to be arranged into 2-person rooms. This may include:
- Two original students sharing a double, and/or
- Pairing with friends from the waiting list or with other students in the same situation.
If your already-registered student did not fill their room, they can upgrade into double occupancy and pay the discounted $99 upgrade instead of the regular $169.
What does upgrading mean for your student?
- Your student will share a room with one roommate of their choice instead of three.
- More privacy and personal space
- Fewer people sharing the bathroom
- A quieter, more comfortable room experience
The base trip price was based on 4 students per room.
What if your students room is not currently filled with 4 and you do not wish to upgrade?
If your student’s room is not currently filled with 4 students and you do not wish to upgrade to a 2-person private room:

We will assign roommates.
In this case, we will carefully try to place your student in a room with other students who also do not yet have a full 4-person room. In some cases this will not be possible.

We’ll try to make good matches (Sometimes this is not always possible)
We will do our best to match your student with others in a similar situation (same school/grade when possible).

Best option: choose your own roommates.
Whenever possible, it is always better for your student to select their own roommates rather than having us assign them.
What You Should Do

- Are they currently in a full room of 4 students who are all confirmed on the trip , or in a room with only 2–3 students?
- Would they prefer a 2-person private room?

We realize this is a bit more complex than a typical rooming update. Our goal is to:
- Keep your registered student’s spot secure.
- Offer a more comfortable double occupancy option where possible .
- Open up space so that more students—especially friends on the waiting list—can join this unforgettable experience.
If You Do Not Wish to Upgrade to a Double Room:
If your student does not have a full 4 person room and prefers not to upgrade to a two-person room with a chosen roommate, that’s perfectly fine. In that case, we will carefully assign them to share a room with another student who also did not have a full room. We’ll do our best to match them with someone in a similar situation but please be aware this is not always possible. It is always best for you to select your preferred roommates.
