Monday Morning Departure Update – Travel Conditions & Safety Plan
We would like to provide parents with a focused update regarding our Monday morning departure from Québec City at 10:30 AM and the expected travel conditions for the first and most critical portions of our return trip.
Québec City to U.S. Border (Late Morning / Early Afternoon)
Current forecasts for Québec City and the autoroute system indicate light snow or flurries with cold temperatures. These are typical winter conditions for the region, and road crews remain active throughout the city and on major highways.
We expect plowed roadways with winter driving conditions, including possible packed snow or slick spots, particularly on ramps and bridges. Our professional drivers are experienced in these conditions and will proceed cautiously.
U.S. Border to Albany, New York (Afternoon / Early Evening)
After crossing into the United States, our route continues south on I-87 through northern New York. This region received significant snowfall earlier in the storm, and while some light snow may still be present, the most intense period of snowfall has already passed.
By the time our buses travel this segment:

Roads will be actively plowed and treated

Driving conditions are expected to be manageable but winter-covered

Travel speeds may be reduced to maintain safety
Our planned driver change in the Albany area is scheduled for the early evening, after daylight travel through the most weather-affected northern portion of the route.
Albany to Loudoun County, Virginia (Evening / Overnight)
As our buses continue south beyond Albany, forecasts indicate that active snowfall will be diminishing, with conditions transitioning to post-storm travel. While roads may remain winter-covered in places due to cold temperatures, we expect improving conditions as we move farther south.
Throughout this portion of the trip:

What to bring the day of the trip?
Proper ID for border
Proper identification is needed for the border crossing to prove U.S. citizenship:
- Original Birth Certificate AND a Government issued Picture ID (Drivers license, School ID, etc)
OR
- A Valid U.S. Passport. This is best to use only if you already have one.
IMPORTANT:
- Make a back-up photo copy store in a safe place
- Take photo of your ID, Birth Certificate and/ or Passport and email to yourself in case of loss
- Arriving by bus to Canada on a school trip does NOT require a passport. (If you have one bring it)
- If you do not have a Passport, you will need the original birth certificate and photo id as listed above.
IMPORTANT: U.S. CASH (Exact change) security deposit and security fee collected on bus
PLEASE HAVE EXACT U.S. CASH AS INDICATED BELOW.
$40 (Total) U.S. Cash Bills ONLY Collected on the Bus:
- $20 U.S. Cash bill only – Refundable Security Deposit
- $20 U.S. Cash bill only – Non-Refundable Hotel Security Fee
Required: Weatherproof Luggage Tag for your bags

LUGGAGE TAGS (WEATHERPROOF) REQUIRED ON ALL BAGS
IMPORTANT: Full Student Name, School Name and Cell Phone Number on a Weather Proof Luggage Tag. Info must be clearly written and secure on bags. If not clear bag could be misplaced or delayed.
STRICT LUGGAGE LIMIT – PLEASE READ CAREFULLY
Charter buses have very limited baggage space. To ensure all luggage fits safely and to avoid delays, these luggage limits will be strictly enforced.
This is a 2-night / 3-day trip. Oversized luggage is not necessary and causes serious loading problems.
EACH STUDENT IS LIMITED TO THREE (3) ITEMS TOTAL
1-MAIN BAG (HOTEL BAG) — ONE ONLY
- Student will have access to this bag on arrival to change for skiing.
- ONE ONLY Tagged, Luggage Bag-Suitcase or Duffle type bag (For the Hotel) is permitted below bus and in the hotel (for bellman) Details below.
Type: Standard-size suitcase OR medium duffel bag
Maximum allowed size (including wheels & handles):
- 27” length × 18” width × 12” depth
- Total dimensions (L + W + D): 57 inches max
✔ This equals a standard airline checked bag
🚫 NOT PERMITTED
- Suitcases 28 inches or larger
- Bags labeled Large, XL, Extra-Large, or Oversized
- Trunks or extended-depth hard cases
REQUIRED:
- Weatherproof luggage tag
- Tag must include:
- Student’s full name (not parent name)
- School
- Student cell phone number
⚠️ Oversized suitcases may be refused at bus loading. No exceptions.
2-EQUIPMENT BAG — ONE ONLY
- For skis or snowboard ONLY (Boot bag ok if needed)
- Must have a weatherproof luggage tag with student info: Student Name (not parent), School, Cell#
- IMPORTANT: Equipment bags STAY ON THE BUS EACH NIGHT
(Students will NOT have access to them at the hotel) - Note: Ski / Snowboard Bags or equipment is not permitted in hotel. (Must remain on the bus)
3-SMALL CARRY-ON — ONE ONLY
- Example: Backpack or small personal bag
- Must fit under your seat or on your lap
- Must have a luggage tag with student info•Must have a weatherproof luggage tag with student info: Student Name (not parent), School, Cell#
🚫 NOT PERMITTED
- Multiple suitcases
- Oversized or extra-large luggage
- Untagged bags
- Loose items or additional personal bags
IMPORTANT FINAL NOTE
These limits apply to all students and are necessary to:
- Fit luggage safely on charter buses
- Avoid delays and missed departures
- Protect student equipment and personal belongings
Thank you for your cooperation in helping make this trip run smoothly.
- Remember: Warm clothes, gloves, hat, goggles, face covering, bathing suit, etc.
Room check-in after the skiing day
Room check-in is 5-6 PM (After we return from skiing).
- Ski Travel will receive the room key envelopes for check-in from the hotel management when all rooms are clean and ready for the group usually by 5-6 PM
- Please note that delays sometimes occur if the hotel was over 75% occupied the night before
Changing morning of arrival
VERY IMPORTANT
Departure and arrival at resort baggage information
Please read thoroughly concerning your:
(1) Main Tagged Luggage Bag For The Hotel Room
- Please pack or dress for easy access to your ski clothing in your (1) Main Tagged Luggage Bag
- You will have access to your (1) Main Tagged Luggage Bag on arrival to the ski resort
- You will be changing clothes to ski and snowboard when you arrive at Mont St. Anne (EARLY AM SATURDAY)
- You will then place your (1) Main Tagged Luggage Bag back in the luggage bay of the bus
- Your Luggage Bag WILL BE DELIVERED to the hotel bellman to place in your room while you ski.

Mandatory Check-in Times with Staff
- Upon arrival students are given a laminated trip schedule/itinerary, which includes the mandatory check-in times for personally meeting with their staff /chaperones
- This policy is strictly enforced
- Failure to check-in with a chaperone on time will result in a call to the parents and/or expulsion from the trip
Meals / Discount Card
The Discount Pass is on the reverse side of the Trip Schedule Card.
- Discounts on food, shops, etc in Québec City (Evening)
- Restaurants, shops, activities are listed on the card
- Breakfast is provided at Mont St Anne on DAY 2 and Stoneham on DAY 3
- Other Meals: Suggested amount per day for food is $40/day
- Room Service is available. Students will need to pay with credit/debit as needed.

Cell Phones / Smart Phones
All U.S. cell phones do work in Quebec.
It is important for students to have a working cell phone for safety. We do send text message updates during the trip.
- Please check with your carrier. Many plans include Canada.
- If your plan does not include Canada, we strongly recommend you add Canada for the trip.
- WARNING: without a Canadian plan the phone is roaming
- Rates will be $1.00 /minute and .50 per text. Please avoid a surprise bill
- WIFI- The hotel does have FREE WIFI in the lobby
What about spending money for the trip?
ATM-DEBIT CARD/CREDIT CARD PLUS (some U.S. Cash) IS THE BEST & SAFEST.
- We suggest ATM, Credit Card + maybe $150-200 U.S. Cash
(Amount of cash obviously at your discretion) - Some cash + ATM , Credit Card is the safest bet. Follow instructions below
- WARNING: GIFT CARDS (Visa, Amex, Mastercard Gift Cards) Do Not work in Canada
ATM-Machines-Debit Cards-Credit Cards-US Money.
- ATM cards are the safest way for students to access cash from home bank accounts
- Most debit cards will work. Some do not work in Canada
- Please NOTIFY YOUR (BANK) that you will be traveling Quebec, Canada (so your Debit or Credit Card will work)
IMPORTANT: TRAVEL NOTICE TO YOUR BANK:
Please notify your ATM bank and Credit Card company of your travel dates and that you will be using your card in Canada.
- CREDIT CARDS (Visa, Mastercard, Discover, Amex) and DEBIT CARDS ARE OK
- U.S. Money (CASH) is also accepted at the ski resort, hotel, shops, restaurants etc
